Office Manager Job Descriptions

Author: Elizabeth Morgan

The role and responsibilities of the senior management personnel in organizations differ from industry to industry. However, with specific training in a certain area, skill in management can be a profitable secondary asset for an employee.

For example, the role of office manager differs a lot between the software sector and the cookware manufacture production office. In the IT sector/software companies, the office manager is supposed to have a complete understanding on the functions of the entire organization. The manager needs to co-ordinate with the company auditors to meet the deadlines for payment of salaries, local government taxes, getting work done, and above all, for maximum utilization of the manpower in a productive manner. For instance, if the employees are idle due to a power breakdown or system failure, the manager needs to take special steps to rectify the problem and resume work quickly. Planning the work and supervising the staff are key functions of this job.

Similarly, the role of a manager is crucial in meeting the production targets in the manufacturing sector. The manager must plan the production schedule by consulting the engineers and team leaders, and arrange the delivery of raw materials. Once the production commences, the manager again needs to co-ordinate with all the team leaders to achieve a good quality product.

Those interested in assuming a manager role in a particular industry should possess suitable qualities for getting better pay. For instance, a manager with a pharmacy degree is better suited to supervise the production of drugs in a pharmaceutical company. In fact, having research experience prior to assuming the role of manager will help, as all the categories through which the drug production is controlled becomes familiar to the manager.

Those who have considerable experience in design or programming are best suited to the job of team leader. From then on, they may assume the responsibilities of production manager in a software firm or IT company focusing on developing new software products. Therefore, employees with software skills and considerable experience in programming should also focus on obtaining a management degree for promotion.

The main responsibilities of an Office Manager revolve around getting things done in an orderly way, making use of the manpower in a productive manner, and maintaining cordial relations with customers. As these skills are needed in many industries, qualified professionals ought to consider developing them for better job prospects in their industry.
